  • Position: Financial Administrator
    Organization: Kelowna Volleyball Club (KVC)
    Location: Kelowna, BC

    Position Summary: The Financial Administrator at Kelowna Volleyball Club is responsible for managing both administrative and financial tasks. This role ensures the smooth operation of the club's activities and financial health by maintaining accurate records, coordinating with team members, and overseeing financial transactions. The ideal candidate will work closely with the KVC Board of Directors and KVC Coordinator. Time commitment is variable depending on the stage of the season, but we expect the role requires 8-12 hours per week.

    Key Responsibilities:

    • Financial Management:

      • Oversee KVC bank accounts and credit cards.

      • Process payments for registered events, travel expenses, and reimbursements.

      • Collect and track all payments, including delinquent accounts.

      • Review and pay invoices for uniforms, equipment, and rentals.

      • Prepare and submit annual financial reports to BC Gaming and BC Societies.

    • Administrative Support:

      • Setup and manage Sportlomo for player registrations, team additions, and ongoing updates.

      • Confirm and update team rosters and travel arrangements.

      • Register teams for tournaments and secure accommodations for national events.

      • Maintain the master schedule of all travel and team events.

    • Coordination and Communication:

      • Coordinate with team coaches and confirm travel and event details.

      • Ensure accurate and timely updates on team event schedules and rosters.

      • Apply for gaming grants and maintain accounting software.

    Qualifications:

    • Experience in administrative and financial management.

    • Proficiency in accounting software (QBO/Sage) and online registration systems.

    • Strong organizational and communication skills.

    • Ability to work independently and as part of a team.

    • Detail-oriented with strong problem-solving abilities.

    • Passionate about volleyball and committed to growing the game in the Okanagan.

  • Position: Facility and Equipment Coordinator
    Organization: Kelowna Volleyball Club (KVC)
    Location: Kelowna, BC

    Position Summary: The Facility and Equipment Coordinator at Kelowna Volleyball Club is responsible for managing the logistics of facilities and equipment necessary for the club's operations. This role will ensure the availability of gyms, creation of practice schedules and ensuring the club has the necessary equipment to manage the club's activities and growth. The ideal candidate will work closely with the KVC Board of Directors and KVC. Time commitment is variable depending on the stage of the season, but we expect the role requires ~8 hours per week.

    Key Responsibilities:

    • Facilities Management:

      • Find and secure facilities for tryouts.

      • Secure gym times for practices and coordinate with the School Board, private schools and private facilities as needed.

      • Develop and manage the practice schedule in collaboration with KVC Coordinator and coaches.

      • Communicate practice schedules to coaches and ensure they are updated regularly.

    • Equipment Management:

      • Coordinate the distribution of equipment to teams and coaches.

      • Order equipment and supplies as needed to support club activities.

      • Maintain an inventory of all club equipment and ensure proper storage and upkeep.

    • Administrative Support:

      • Track and manage budget expenditures related to facilities and equipment.

      • Review invoices for facility rentals and equipment purchases.

    • Coordination and Communication:

      • Work closely with the KVC Board of Directors and KVC Coordinator to align facility and equipment management with club goals.

      • Communicate effectively with coaches, teams, and external partners regarding facility and equipment needs.

      • Ensure timely and effective communication regarding facility schedules and equipment availability.

  • Position: Communications Coordinator
    Organization: Kelowna Volleyball Club (KVC)
    Location: Kelowna, BC

    Position Summary: The Communications Coordinator at Kelowna Volleyball Club is responsible for managing both internal and external communication. This role ensures the effective dissemination of information and smooth communication of the club's activities. The ideal candidate will work closely with the KVC Board of Directors and KVC Coordinator. Time commitment is variable depending on the stage of the season, but we expect the role requires ~8 hours per week.

    Key Responsibilities:

    • Communications Management:

      • Adjust website information for the season, tryouts and player registration.

      • Send out offers to player families and manage acceptance and decline communications. This may include additional offers after the initial offers are sent.

      • Communicate coaching requirements for the season and welcome new members to the club.

      • Answer questions from parents about the season and provide timely responses to information requests.

      • Forward necessary information from VBC to coaches.

      • Communicate with coaches regarding travel and booking policies.

      • Respond to fee-related emails after final fee submissions.

    • Coordination and Collaboration:

      • Coordinate closely with the KVC Board of Directors, KVC Coordinator and Financial Administrator to implement club policies and initiatives.

      • Ensure clear and consistent communication between all stakeholders, including players, families, coaches, and the board.

    Qualifications:

    • Proven experience in communication and administrative roles.

    • Strong organizational and communication skills.

    • Ability to work independently and as part of a collaborative team.

    • Detail-oriented with excellent problem-solving abilities.

    • Passion for supporting the growth of volleyball in Kelowna.
